Purpose. This policy is published under section 3.2 of Quebec's Law 25. It identifies the officer responsible and the roles, the retention and destruction rules, and the complaints procedure.
1. Who is responsible
Lino Ti inc. is a company incorporated in Quebec. Responsibility for the protection of personal information is assigned to a designated individual, identified below, to whom all requests and complaints must be addressed.
Privacy officer: Olivier Lamarche, President, Lino Ti inc. — privacy@linoclass.ca
The officer performs the functions the Act assigns: approving the practices described here, handling access, correction and deletion requests, keeping the confidentiality incident register, and receiving complaints.
Roles across the lifecycle
| Stage | Who acts |
|---|---|
| Collection | The teacher enters classroom content. The parent supplies their email and consent |
| Use and retention | Lino Ti inc., on servers located in Quebec |
| Disclosure to third parties | None, apart from the processors listed in the privacy policy |
| Access, correction, deletion | The officer named above |
| Destruction | The officer named above, per section 2 |
Teaching staff can reach only their own classes. No one is granted access to a child's content for marketing, commercial analysis, or model training.
2. Retention and destruction
| Information | Retention | Destruction |
|---|---|---|
| Portfolio content (photos, drawings, audio, video) | As long as the teacher's account exists | On deletion of the account or the student, or on request |
| Messages and announcements | Same | Same |
| Consent ledger | Append-only, as long as the account exists | With the account |
| Billing details | As required by tax and accounting obligations | When those obligations expire |
| Confidentiality incident register | Five years minimum from the date we became aware | After that period |
No automatic deletion is performed on a fixed date. Retention is tied to the existence of the account, as set out in the table above.
Any deletion request is carried out within 30 days. It covers the database records and the files held in storage, including earlier versions of a pupil's work.
3. How to complain to us
The procedure below is open to any person concerned, without any need to approach an external body first.
The process
- Address your complaint to privacy@linoclass.ca, marked "Complaint" in the subject line, setting out the facts. No legal citation is required.
- An acknowledgement is sent within 5 business days, identifying the person handling the complaint, namely the individual named in section 1.
- A written and reasoned response is provided within 30 days. Where the review requires additional time, the complainant is informed before the deadline and given a revised date.
- Where the complaint is founded, the situation is corrected and the measures adopted to prevent recurrence are communicated to the complainant.
Filing a complaint has no effect on the complainant's account or on that of the child concerned.
If our answer does not satisfy you
The Commission d'accès à l'information du Québec (cai.gouv.qc.ca) may be approached at any time. That recourse remains entire: it is not conditional on the procedure described above, which does not replace it.
If the child is enrolled through a school or school service centre, you may also contact that body's access to information officer.
